In this document the terms ‘Association’ and ‘RH&DRSA’ refer to the Romney Hythe and Dymchurch Railway Supporters Association (CIO), Registered Charity No. 1191151
The RH&DRSA’s main lawful basis for processing data is “Consent”. Other lawful bases could or do also apply in certain circumstances.
What information do we collect?
We collect information from you when you register on our Site, or join the Association, or communicate formally with the Association.
You may be asked to give your: name, e-mail address, postal address, phone number, photograph, date of birth and other details deemed from time to time necessary to manage your membership.
Your consent. You consent to our privacy policy when you access our website or apply to join the Association or renew your membership.
What do we use your information for?
We require this information to better understand your needs and provide you with an improved service, and in particular for the following reasons:
- Internal record keeping.
- Gift Aid processing.
- Sending you promotional communications through email, post and telephone, to request further support, to advertise events taking place on the RHDR, special offers, or other information which we hope will interest you.
- From time to time, we may use your information to contact you for the purposes of improving our services to members or raising funds for the Objects of the Charity. We may contact you by email, phone or post.
- Your data, whether public or private, will not be sold, exchanged, transferred, or given to any other organisation outside of the RH&DRSA other than transfers to our approved and trusted sub-processors who are GDPR compliant and will use the data only for the purposes of fulfilling our legitimate purposes in membership administration and communications as above.
Note: If at any time you wish to unsubscribe from receiving future reminder communications, we will include an unsubscribe link at the bottom of emails, and instructions on printed reminders.
How do we protect your data?
We implement a variety of security measures to protect your personal data when you enter, submit, or access your personal information.
For sensitive information, we offer the use of a third party secure server. All sensitive/credit information is transmitted via Secure Socket Layer (SSL) technology, and then encrypted into our Payment Gateway Provider’s database, only accessible by those with special access rights to such systems, who are required to keep such information confidential.
Do we use cookies?
The Association’s website uses cookies, but only as part of the website control. We do not use cookies to store data of a personal nature, or of your website usage, apart from cookies used to track general usage through Google Analytics. You may turn off cookies in your browser, but this action may affect the working of the website.
Do we disclose any information to outside parties?
We do not sell, trade, or otherwise permanently transfer to outside parties, your personal identifiable information. (The exception to this is that we share such information with the RHDR Light Railway Company and the RHDR plc as is necessary to facilitate volunteering within our Charitable Objects.)
We also transfer parts or all of your personally identifiable information to trusted third parties who assist us in operating our website and other systems to maintain our service to you. It is understood that those parties agree to keep that information confidential. We may release your information when appropriate to comply with the law, enforce our site policies, or protect others’ rights, property or safety. Non-personally identifiable visitor/supporter information will be provided to other parties for marketing, advertising or other such uses on occasion.
